Refine Officiating ("Refine," "we," "us," or "our") is committed to protecting your personal information. This Privacy Policy explains what data we collect, how we use it, and your rights regarding that data.
1. Information We Collect
Account information: When you create an account or are invited to the platform, we collect your name, email address, and any profile information you provide (such as sport specializations and organization affiliations).
Content you upload: Game film, video clips, annotations, comments, and crew assignment data you submit through the platform.
Usage data: Information about how you use the platform, including pages visited, features used, and timestamps. This is used to improve the service and diagnose technical issues.
Payment information: If you subscribe to a paid plan, payment is processed by Stripe. We do not store your full credit card number — only a token provided by Stripe and basic billing details such as your name and billing address.
2. How We Use Your Information
We use your information to:
- Provide, operate, and improve the Refine platform
- Authenticate your identity and maintain your account
- Send transactional emails (account invitations, password resets, clip share notifications, and crew assignment notifications)
- Process subscription payments and send billing receipts
- Respond to support requests
- Comply with legal obligations
3. Email Communications
We send emails only for transactional purposes related to your use of the platform. These include:
- Account invitations: Sent when an administrator adds you to the platform or an organization
- Notifications: Sent when someone shares a clip with you or tags you on a game
- Billing: Receipts and payment notifications related to your subscription
- Account security: Password reset and account verification emails
We do not send marketing emails without your explicit consent. You may opt out of non-essential notifications at any time by updating your notification preferences in your account settings or by contacting us at support@refineofficiating.com. Note that transactional emails related to account security and billing cannot be opted out of while your account is active.
4. How We Share Your Information
We do not sell your personal information. We share data only in the following circumstances:
- Within your organization: Members of your officiating organization can see your name, profile, and content shared within the platform per your organization's settings
- Service providers: We use AWS (video storage and delivery), Supabase (database), and Stripe (payments) to operate the platform. These providers process data on our behalf under their own privacy policies
- Legal requirements: We may disclose information if required by law or to protect the rights and safety of our users
5. Data Storage and Security
Your data is stored on servers provided by Supabase (database) and Amazon Web Services (video files), located in the United States. We use industry-standard security measures including encryption in transit (HTTPS) and at rest. Access to production data is restricted to authorized personnel only.
6. Data Retention
We retain your account and content data for as long as your account is active. If you close your account, you may request deletion of your personal data by contacting support@refineofficiating.com. Video content and game data associated with an organization may be retained per that organization's data retention policies.
7. Your Rights
Depending on your location, you may have the right to access, correct, or delete personal data we hold about you. To exercise any of these rights, contact us at support@refineofficiating.com. We will respond within 30 days.
8. Children's Privacy
Refine is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email or a notice on the platform. Continued use of the platform after changes take effect constitutes your acceptance of the updated policy.
